RE’s Report - Steve Ducharme

New website looks great. Wiki coming along well. Waiver clarifications:

• Gate waivers are for adults only, 19 and over.
• Annual and dated online waivers MUST BE PRESENTED to get wristband.
• Digital annual waivers a good idea.
• Minor waivers, with Parental consent, must be completed in advance.

We should continue work on the old Policies and Procedures manual. Charity events - Sanction fees waived by National office

• Events held on same site, same day as our event.
• Must request waiver BEFORE event begins.
• Example: Rides for VetMotorsports
• We can do 1 per year, plus:
  • StartingLine school
  • Street Survival School, but not if held at Innovation Park.

Tracy Lewis is new StartingLine Coordinator. First Solo event of the year this coming weekend! Added new Auditor and Cleanup worker positions. Discussion on number of workers needed per corner.

RallyCross - Rodman Hunsaker

Minimum number of entrants to hold event? Due to conflict with RallyCross Nationals, moving RX #8 to October 15.

Registration and Timing Software - Tony Mitera

Store 3 batteries and jump pack for winter. Take trailer to Action Signs for new decals and lettering. Repair Honeywell portable generator. Oil change for Cummins generator

New Business

Hot Zone (Grid) enforcement Off-season emails from National have spotlighted the need to ensure that ONLY MEMBERS are in the Hot Zone. Need to change our current procedures, before National changes them for us. Proposed changes:

• Delineate Hot Zone with rope barrier.
• Manned Grid entrance, work assignment.
• Person at Grid entrance verifies everyone entering Grid is a member.
• Will have Trial Membership forms for those seeking rides.

Minimum requirements:

• Site Access: Black wristband, or Annual Waiver card.
• Grid/Course Access: Red wristband, or Annual Waiver card.

Known problems to solve, or issues:

• How does Gate know who to give which wristband to?
• Do we have EVERYONE check in at the Trailer to check status before event goes hot?
• We don't do any of this at Solo Nationals. Are we overthinking this??
